Office search and requirement information
When you ask us to assist with an office search, we may collect information including, but not limited to:
Enquiries and communications
We may retain information contained in communications with you, including website enquiries, emails, telephone conversations and subsequent correspondence. Telephone calls to or from Mint Offices may be recorded for quality assurance, training, accurate record keeping, resolving queries and, where appropriate, establishing details of an enquiry. Where calls are recorded, callers may also be informed of this when making or receiving a call.
Website and technical information
When you use our website, we may collect technical information such as IP address, browser and device type, operating system, pages viewed, referring source, approximate location derived from IP address, visit dates and duration, website interactions, advertising/campaign information, cookie identifiers and similar technical information. 3. How We Obtain Personal Information
4. How We Use Your Information
5. Sharing Your Information With Office Providers
Sharing information with relevant office providers is an integral part of the Mint Offices office-search service. When you submit an office-space enquiry or ask us to assist with finding office space, you are asking Mint Offices to search the market and communicate with appropriate providers on your behalf.
To provide this service, we may share your name, company details, contact information and office requirements with relevant serviced-office providers, managed-office providers, flexible-workspace operators, landlords, property owners, property agents, building representatives and other organisations involved in providing or arranging office accommodation.
This sharing enables us and the relevant provider to register your enquiry, establish or protect Mint Offices’ introduction to that provider, confirm availability, obtain pricing and proposals, answer questions, arrange viewings and progress your office search. If you do not want your information shared with relevant office providers, we may be unable to provide our office-search and introduction service. We do not treat this essential sharing as an optional marketing preference.
Once information has been legitimately provided to an independent office provider or other third party, that organisation may act as a separate data controller and may process your information in accordance with its own privacy policy and legal obligations.
6. Other Organisations We May Use
We use third-party technology and service providers to operate our business and website. These currently include or may include Salesforce for CRM and enquiry management; Google, including Google Analytics, Google Ads, conversion measurement, remarketing and Google Maps; CallRail for call tracking, attribution, analytics and, where configured, call recording; and Microsoft 365 for business email, communications and document management.
We may also use website hosting providers, IT and cybersecurity providers, professional advisers, accountants, developers, communications providers, analytics providers and other suppliers necessary to operate our business. We may add, replace or change suppliers as our business develops and will update this Privacy Policy where this materially changes how personal information is processed.
7. Our Lawful Bases for Processing
Contract and steps requested before entering into a contract
Where processing is necessary to provide a service you have requested or take steps at your request.
Legitimate interests
Where processing is necessary for our legitimate business interests or those of a third party and those interests are not overridden by your rights and interests. These interests may include responding to enquiries, operating our office-search and introduction service, managing provider relationships, registering and recording introductions, improving services, maintaining records, securing systems and understanding business performance.
Consent
Where we specifically ask you to consent to particular processing, such as certain marketing activities or storage/access technologies.
Legal obligation
Where processing is necessary for us to comply with applicable law. The lawful basis used will depend upon the particular processing activity.
8. Marketing Communications
We may from time to time send information about office space, availability, offers, market information and related Mint Offices services where permitted by applicable law. Where consent is required, we will obtain it. Where electronic-marketing law permits us to contact existing customers or people who have expressed an interest in our services without separate prior consent, we may do so subject to the relevant legal requirements.
You can opt out of direct marketing from Mint Offices at any time by using the unsubscribe facility in a marketing communication or contacting privacy@mintoffices.com. Opting out of marketing will not prevent us from contacting you about an active office enquiry, requested viewing, existing business relationship or other non-marketing matter.
9. Cookies, Advertising and Analytics
Our website may use cookies, pixels, tags and similar technologies for website functionality, security, preferences, analytics, call and enquiry attribution, advertising performance, Google Ads conversion tracking, advertising and remarketing. Where consent is legally required for a particular technology or purpose, that technology should only be used after the necessary consent has been obtained. Further information is provided in our Cookie Policy.
10. International Transfers
Some technology and service providers may process or store information outside the United Kingdom. Where personal information is transferred internationally, we will take appropriate steps to ensure the transfer complies with applicable UK data protection law, which may include UK adequacy regulations or approved contractual safeguards.
11. How Long We Keep Information
We retain personal information only for as long as reasonably necessary for the purposes for which it was collected and for legitimate legal, regulatory, accounting and business purposes. Enquiry and client records may be retained after an office search has concluded where reasonably necessary to maintain records of introductions, deal with subsequent enquiries, establish entitlement to introduction or commission fees, resolve disputes, meet legal or accounting requirements, or establish, exercise or defend legal claims. We periodically review information and may delete or anonymise information no longer required.
12. Security
We take reasonable organisational and technical measures designed to protect personal information against unauthorised access, alteration, disclosure, loss or destruction. No internet-based service or electronic storage system can be guaranteed completely secure.
13. Your Data Protection Rights
Depending upon the circumstances, UK data protection law may give you rights to request access, correction, deletion or restriction; object to processing based on legitimate interests; object to direct marketing; receive certain information in a portable format; withdraw consent where processing is based on consent; and complain to the Information Commissioner’s Office (ICO). Some rights are subject to legal limitations and exemptions.
You have the right to object at any time to the use of your personal information for direct marketing. To exercise your rights, contact privacy@mintoffices.com. We may need to verify your identity. You may also complain to the ICO at www.ico.org.uk.
14. Third-Party Websites
Our website may contain links to websites operated by office providers and other third parties. We are not responsible for their privacy practices and recommend reviewing the relevant privacy policy.
15. Changes to This Privacy Policy
We may update this Privacy Policy periodically to reflect changes to our services, technology, suppliers or legal obligations. The latest version will be published on this website and the Last updated date changed accordingly.
